Order too few and guests are left standing; order too many and you waste space and money. Use this guide to get your table and chair rental right the first time.
Step 1: Count Chairs
For seated meals, plan one chair per guest plus 5% extra for surprise guests, vendors and elderly relatives. For standing receptions, provide seating for about one-third to one-half of guests.

Step 3: Do the Math
- Round tables: guests ÷ 8 (round up). 100 guests = 13 rounds.
- 6 ft rectangular tables: guests ÷ 6–8. 60 guests = 8–10 tables.
- Cocktail tables: 1 per 8–10 standing guests.
- Utility tables: add 1 for buffet (per 50 guests), 1 for drinks, 1 for cake/dessert, 1 for gifts, 1 for DJ and 1 for sign-in.
Example: 80-guest birthday party
80 chairs + 4 extra = 84 party chairs; 10 round tables for dining; 2 tables for buffet, 1 for cake, 1 for gifts and 1 for the DJ = 15 tables total; plus 4 tall cocktail tables near the bar.
Step 4: Plan Your Layout
- Leave 5–6 feet between round tables so guests can push chairs back and servers can pass.
- Place the buffet away from the entrance to avoid bottlenecks.
- Keep the dance floor or 360 photo booth close to the DJ and away from the food.
- Outdoors, plan for shade with a 20x30 canopy or 20x40 tent.
